Minutes of the 9th General Meeting

1.   Meeting called to order

The 9th General Meeting was called to order by the President at 1020.

 

2.   To pass the minutes of the 8th General Meeting

“Emily LAU Wai-Hing” was added to the list of guests invited for the Mentorship Programme with TKTOSU.

 

 

3.   Registration

Sunny Wong stated that the registration would be completed within the week.

 

 

4.  Social Service Scheme  [PIC: Sunny Wong + Yandy Chan]

Sunny Wong explained that though the problem with Ling U had not been resolved, he would mail the invitation letters to the schools on 8 March since the deadline of application was approaching.

 

He explained that OSU would be responsible for promoting the event among secondary schools. It was hoped that 30-40 secondary students could be recruited.

 

 

5. Outstanding Students’ Selection (OSS) 2010  [PIC: Sunny Wong + Connie Law]

The Yuen Long Junior Chamber would be holding the first meeting on 8 March. Sunny Wong would be attending the meeting with Connie Law.

 

 

6. OSS Orientation Camp 2010 

[PIC: Sunny Wong + Kenneth Chan + Annis Au + Cathy Wong]

The Yuen Long campsite used last year would be booked as the venue for the OSS Orientation camp this year. Kenneth Chan and Sunny Wong would make the booking soon.

 

 

7. Publication

Kenneth Chan reported that the promotional leaflet had been sent to the printing company. 2000 copies would be made and they should be ready within the week.

 

He pointed out that there was an error with the IE address of the YLC website, but the problem had already been fixed.

 

The YLC poster had been finalised and the OSU logo had been modified. The School Database had also been updated. These documents had been sent to all Ex-Co members for reference.

 

Connie Law would be collecting the OSU envelopes on Monday.

 

 

8. Mentorship Programme with TKTOSU  [PIC: Sunny Wong + Connie Leung]

The details of the first activity was as followed:

Date: 27 March 2010

Time: 9-2 pm

Venue: HKUST

 

Kenneth Chan would invite his tutor as one of the judges for the programme.

Connie Leung reported that all guests invited were from the political sector. It was hoped that representatives from other sectors could also be invited.

 

 

9. HKYLC 2010

A.  Guests

Connie Law suggested asking the ICAC representative to give a talk for around half an hour on the Opening Ceremony. It was agreed that this was a better option than asking him to give a short opening speech.

 

A Law professor from CUHK had accepted the invitation to be the guest in workshop 1.

Connie Law reported that the reply for invitation should be received from the PPA Society, Law Society and AMS of HKU within this week.

 

B. Administration

It was decided that the CUHK Law Society would be asked to help with the venue-booking of the workshops held in April.

 

Connie Leung reported that 4 rooms in CUHK had been reserved for the interview on 20 March 2010. She also stated that invitation letters had been sent to a total of 230 secondary schools. It was reminded that applicants should be notified of the interview details by phone.

 

It was stressed that the recruitment of mentors should begin. The Ex-Co members could recruit mentors from the sub-committee, co-organising societies and past Ex-Co members.

 

C. Promotion

Nathan Kung would be responsible for the design of the banner. It was agreed that the banner should be ready two weeks before the Opening Ceremony on 10 April.

 

Connie Law stated that she and Nathan Kung had been receiving calls from different schools asking for more details on the payment of entrance fee. It was decided that the fee would only be collected after the application was confirmed to be successful.

 

It was agreed that the previous design for the T-shirt could be reused in HKLC 2010.

 

Cathy Wong was responsible for preparing the souvenirs for the guests, and uploading the photos onto the HKYLC website and facebook group.

 

D.  Interview

Date: 20 March 2010

Time: 9 - 12:30 p.m.

Venue: ELB Rm 415, 202, 206, 207

Format: Group Interview (4-5 candidates in a group)

 

Rundown:  Self Introduction (30s each)

                   Creative Questions (2.5 mins each)

                   Discussion (8 mins)

                   Feedback from interviewers (1 min. each)

(around 30 minutes for each interview time slot)

 

Area assessed on:  Communication Skills

                               Critical Thinking

                               Analytical Skills

 

*It was reminded that everyone should call the schools asking for contacts of the teacher-in-charge of HKYLC 2010 and help promote the event.

 

*The HKYLC meeting should be held before April.

 

 

10.  CE/AL SMS  [PIC: Christy Chan + Polly Yu]

Christy Chan and Polly Yu would be sending messages on behalf of the 17th Ex-Co to OSU members who were taking public exams this year.

 

 

11. A.O.B.

A.  Central Wong

Sunny Wong reported that Central Wong had requested to resign from the 17th Ex-Co. His request had been accepted but he would complete his duty of contacting potential sponsors for HKYLC 2010.

 

B.  Internal Events

Connie Law stated that she would send the 4th Internal Email within the week, updating OSU members on the latest activities and recruiting mentors for HKYLC 2010.

 

It was decided that the Annual Dinner would be held in July after the 23rd OSU members were selected from the OSS 2010.
